Terms & Conditions
Trelan Farm handles bookings from persons over 18 years of age. trelan farm is strictly adults only and there are no exceptions for guests under 18, including babies.
We reserve the right, without giving reasons, to refuse a booking. When you submit your booking request and confirm with us you will receive a confirmation email following deposit payment/full payment. Please check the e-mail for any errors. A contract will be formed when Trelan Farm sends you a booking confirmation letter via e- mail. Any issues must always be notified by email or telephone within 7 days following the receipt of the booking confirmation email or before the start of your stay if that occurs within 7 days.
Damages / Breakages / Cleaning
For damages or breakages: Guests are advised to check the accommodation unit/s for any damages or breakages found at the beginning of their stay and to inform Trelan Farm of any that they find. Please let us know if anything gets broken so we can replace it for our next guest. We will only charge for replacements in exceptional circumstances, as we expect a degree of wear and tear. If damage is directly attributable to the guest, then we reserve the right to request payment of up to £1500. Trelan Farm reserves the right invoice guests following their stay.
For extra cleaning: Guests are reminded that they must leave the property in the same condition as when they arrived, remove all food items, personal belongings and follow Trelan Farm’s instructions about where to place rubbish etc. or they may be liable for extra cleaning costs. If the accommodation unit is not left in an acceptable condition and Trelan Farm has to carry out extra cleaning above and beyond what they would normally expect this will be charged at £45 per individual staff hour. Trelan Farm reserves the right to invoice guests following their stay.
Prices
The price stated on the booking conformation email is binding. Special offers and/or discounts cannot be used after you have booked your stay.
Payments & Cancellations
If your booking is less than 28 days away, full payment must be made at time of booking.
Otherwise, a 50% deposit payment must be made at the time of booking. The balance must be paid one calendar month ahead of your stay. If you pay via card/stripe the balance will be taken automatically from your payment card a month before arrival. If you pay via PayPal we will send an invoice a month before, due on receipt. We will send reminder emails but if payment has not been made and we can’t get in touch with you (we will attempt to contact you three times via email & phone) we reserve the right to cancel your stay and try to resell the dates.
Cancellation Policy
All bookings are deemed as non-refundable. If your stay is terminated early we are not able to offer a refund. If the cabin is re-let for the same period, payment may be transferred to another date within 12 months of the original booking. There is a £25 fee for this.
We strongly recommend that guests will have or will take out a holiday insurance policy (which includes cancellation insurance covering sickness, including Covid-19, and unavoidable reasons for cancellation) prior to their stay.
Making Alterations
If you decide to make a major change to your booking there is a £25 fee. We are not obliged to make any changes to the holiday after the booking has been confirmed.
Arrival and Departure
You have access to your accommodation from 3 pm on the day of arrival. On the day of departure you must vacate your accommodation by 10.00 am, leaving your accommodation clean and tidy. We very often have guests arriving the same day so we ask politely if you can respect the check out time so we can get the cabins ready for our next guests.
Please note that the advised check-in time is between 3.00 pm and nightfall. The check-in times are for your own interest to allow you time to unload your luggage and enter the accommodation before dark. Should you be unavoidably delayed, please contact Trelan Farm at the numbers listed in the travel directions.
Cars
Please use the designated car park and do not take any vehicle up to the cabins. Electronic car charging is not permitted on site as there is insufficient power supply and it is not covered by our insurance. Guests will be liable for any damage to either their vehicle or the sites electrics caused by attempting to charge a vehicle. Please take care when entering and exiting the property, our young children are often crossing the road and other guests often walking across the drive.
Pets
Strictly no pets are allowed at Trelan Farm at any time.
Site Regulations
In order to make the stay at Trelan Farm as pleasant as possible, all guests must keep to rules of behaviour listed here, behaving in a considerate and safe manner to all people and animals onsite.
To respect neighbours we ask that there are no high noise levels after 9.30 p.m.
Please do not collect any wood from the farm for burning. Fireworks and sky lanterns are not allowed as they pose a risk of fire and are a danger to livestock.
Please do not use the BBQ’s on the wooden decking area and make sure they are safety extinguished afteruse. Do not place hot coals in the bin. We ask that you please don’t use the BBQ on the morning of your departure so our cleaners do not burn themselves during the changeover.
Fire Procedure
In the event of any fire or fire alarm sounding please leave the cabin immediately through the closest door. Please do not stop to collect your belongings. Call the fire brigade on 999. We hope you love the natural environment as much as we do! We ask that you consider the Countryside Code including the following:
Leave gates as you find them, closing a gate if found closed. Keep to public footpaths when not on the wildlife site.
Do no walk across crops (this includes long grass). Leave no trace on the land.
If the Site Regulations are breached, in serious circumstances, we may ask you to terminate your stay without a refund.
Please note that essential maintenance activities may be carried out at the farm or to accommodation during your stay without you being entitled to any compensation.
Liability
Trelan Farm accept no liability for:
i. theft, loss or damage, of whatever nature, during or as a result of a stay at Trelan Farm. ii. any defect or out of action equipment and loss or closure of supplies at Trelan Farm.
Guests are responsible for any losses and/or damage which occurs as a direct or an indirect consequence of their stay, irrespective of whether any losses and/or damages are caused by themselves or by third parties who are at Trelan Farm.
It is very rare and we do all we can do avoid it happening but if we at Trelan Farm have to cancel your stay for reasons beyond our control we are not liable for any other losses you may occur such as booking costs for additional activities in the area you may have planned.
In the rare circumstance the outdoor bath isn’t working during the time of your stay we will be able to offer you a 10% refund on your total stay.
Force Majeure
Trelan Farm cannot be held liable if, through Force Majeure, the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Trelan Farm, including threat of war, blockades, fire, floods, staff strikes, and other disruptions or events.
Complaints Procedure
We take great care to ensure you have an enjoyable stay at Trelan Farm however if you have a complaint during your stay please contact Catherine or Wynne soon as possible.
Day Visitors
With prior agreement from Wynne or Catherine, you may have up to two visitors during your stay up until 9pm. Day visitors are not permitted to stay overnight and we reserve the right to terminate your stay earlier should you have visitors stay past 9pm.
CCTV
The main driveway is covered by a CCTV camera.
Risks
You will be staying at a farm with animals and potentially dangerous farm equipment amongst other hazards. Do not enter the farmyard without being accompanied by either Catherine or Wynne. Do not touch or feed any of the animals. They may bite and pose risk of infection.
Please be aware that some of the guest equipment, including the BBQs, gas stoves may be dangerous if misused. Please follow all instructions in each cabin which can be found in the visitor information book.
Please do not use any type of extension leads or portable heaters in the cabin.
Take care on the decking in wet weather/after taking a bath as the decking will get slippery. We recommend wearing suitable footwear at all times.
The bath water & water in the cabins can get very hot so take care not to burn.
Excess rubbish can be a hazard if left in the cabin. Please remove any full bins from the cabin to the bins in the car park and sort into the right bin.
Trelan Farm is not responsible for accidents (to the greatest extent permitted by law). We recommend you take out travel insurance against the risk of accidents and your stay being terminated early.
General
Your contract partner is Trelan Farm. We are not bound by any printing errors.
